Pipeline Stages
Track your leads from first contact to closed deal with five simple stages.
Pipeline Stages
Once you approve a lead, it enters your pipeline at the New stage. As you take action — reaching out, qualifying, negotiating — you advance the lead through stages to keep your pipeline organized.
The five stages
| Stage | What it means |
|---|---|
| New | You've approved the lead but haven't taken action yet. This is the default stage for every newly approved lead. |
| Contacted | You've made initial contact — sent a letter, made a call, knocked on the door, or sent a text. |
| Qualified | You've confirmed this is a real opportunity. The owner is receptive, the numbers work, and it's worth pursuing further. |
| Negotiating | You're actively working toward a deal — discussing price, terms, or next steps with the owner. |
| Closed | The deal is done. You've acquired the property, assigned the contract, or completed the transaction. |
When to advance a lead
Move a lead forward when you've completed the action for the current stage:
- New → Contacted — After your first outreach attempt (even if you didn't get a response).
- Contacted → Qualified — After you've spoken with the owner and confirmed there's a real opportunity.
- Qualified → Negotiating — After you've started discussing terms or made an offer.
- Negotiating → Closed — After the deal is complete.
Stages move forward sequentially. You can advance one stage at a time from the lead detail panel.
Filtering by stage
On your campaign leads page, use the tabs at the top to filter by stage. This makes it easy to see:
- All your New leads that need outreach
- Leads you've Contacted that need follow-up
- Active Negotiations that need attention
Keeping your pipeline healthy
A few tips:
- Don't let "New" pile up — If you're approving leads but not contacting them, narrow your campaign criteria or set aside time for outreach.
- Move leads forward promptly — Update stages as soon as you've taken action so your pipeline reflects reality.
- Use notes — When you advance a stage, add a note about what happened. Your future self will thank you.
